Information outlined below details what information we collect from you, what we do with it and who it might be shared with. When you supply your personal details to Helenka they are stored and processed safely for the benefit of you as a client and us in order to supply an excellent treatment/service.
What information will we collect from you?

Personal details - this includes your name, email address, telephone number, next of kin and date of birth.

Any relevant health and medical information such as patch testing.

Other notes that may be relevant to your treatment – lifestyle notes, hobbies etc.

Relevant treatment record cards.
Why do we collect this information?
Firstly, the information we collect is to keep you safe and ensure you receive excellent treatments that pose no risk to your health or well-being. This information also means that you are covered by our insurance (consultation forms, medical history, patch testing and treatment records).
Secondary information will be used for the following purposes:

Marketing to include exclusive offers.

Appointment reminders sent via email.

Other communication and notifications that may affect a treatment or booking, staff holidays, price changes or cancellations.
We will ask on each consultation form for your consent to transfer your basic information (name, email and contact number) to our online booking system Ovatu (if not already registered). This service enables appointment reminders to be sent to you via text and email.
How do we store your information?
Signed consultation forms and treatment cards are stored manually and are accessible to staff only. Information stored on our online booking system (Setmore) is stored safely and is password protected for staff use only.
Who might we share your information with?
We will not share your information with any third party except in the instance of our online booking system Ovatu. All information added to Ovatu will be stored securely with password protection, meaning Ovatu and its staff have no access to your information. Any more information regarding our online booking system can be found on the Ovatu website under their Privacy Policy.
How long do we keep hold of your information?
Consultation forms and treatment records cannot be permanently deleted as they must be kept legally for insurance purposes for a period of five years. They can however be archived upon your request. All other information held on Ovatu can be permanently deleted at any stage.
How will my images be used?
All images of work will require your consent before being used for marketing on social media. Once you have provided consent of the use of images on social media they will remain the copyright of Helenka.
